Office Responsibilities

Hotel Keys

Our office team is delegated the management of Hotel Keys for function space at the hotel.

Checking in/out

A Concom Member check out a key if they meet one of the following criteria.

  1. Has key assigned on the 'Key List - Master' google sheet1, OR
  2. Have either written2 and/or vocal3 permission for the Executive Director responsible for the space.
1To open this file you must be a member of our office team with @norwescon.org login. 
2Vocal permission my be given via radio, phone or in-person
3Written permission my be in the form of signed note, email and/or Discord Message in the #office chennel

Radio Check in/out & Battery Exchange

Radio Accessories

There are a limited number of each type of each radio accessory. Radios must be issued with the designated accessory with the following exceptions.

Exceptions:  When approved by the Radio Shop Lead (Kyle Hall for NWC 44) and/or Convention Services Director. Any Executive wishing to switch for themselves can switch without approval. 

Assigned Radio Rules

  • Radio that are assigned to a person cannot be signed out to another person without the authorization of the Department Director (Executive) approval that the radio is originally signed to
  • Only the person who is listed on the 'Master Radio List' OR their Department Director (Executive) can sign-out an assigned radio

Floater Radio Rules

  • Floater Radios my be signed out to anyone that from the assigned department/role
  • A Department Manager/Director can sign-out all their department's floater radios as a batch and manage them at another location and/or have their staff sign the radio in/out at Office

Radio Shop Radios

There are two types of radios assigned to the 'radio shop'

Event Floaters

Event floaters can be checked out by either our Tech Team and/or Special Event Team for an event/night by event/night basis

Spear Radios

Spear Radio can be issued at the discretion of office staff in leu of a non-functional radio with the same program set, so long as the 'basic troubleshooting' steps below have been followed

Specials Rules for Safety Department Radios

There are some addental rules for people who are checking out Department Radios.

  • The person must be listed on the Master Safety Staff List, AND
  • Be issued (or have) the list of items bellow
If someone is not listed on the Master Safety Staff List, please contact the MOD (Manager on-duty) for instructions 

List of required equipment

  • Safety Badge
  • Safety Team Lanyard
  • Pen and Note Pad (commonly 3x5 post-it note)
  • Paper Map of the hotel
  • 2 pairs of nitrile gloves, sized for the user
  • Peacebonding Card
  • 5 or more peacebond strap/zip-ties
  • Closed toe shoes

Staff Parking Passes

There is staff parking avaible between Wing 6 & 7 that is reserved for Norwescon Staff, Performers that need reparative in/out. Please remember that there are a limited number of spaces so

Criteria

  • Staff that require in/out access more then once per day
  • Performers and other VIP guests who are coming for one day only
  • Convention Staff that needs access to their vehicle and/or equipment there-in
